1. Introduction

Welcome to The Secret Flow. By booking or participating in our classes, workshops, memberships, or using any of our services, you agree to be bound by these Terms and Conditions. Please read them carefully. If you do not agree with any part of these terms, you should refrain from using our services.

2. Studio Policies

2.1 Booking & Attendance

  • All classes must be booked in advance through our booking platform, Mindbody.

  • Cancellations must be made at least 12 hours before the scheduled class start time to avoid losing the class credit.

  • Late cancellations or no-shows will result in the full loss of the class credit.

  • Late cancellations or no-shows on unlimited memberships or offers will incur a £18 late cancellation fee, charged to the card on file.

  • Please arrive at least 5 minutes before your scheduled class time. For safety reasons, late arrivals will not be permitted to join the class once it has started.

2.2 Class Credits & Packages

  • All class credits and packages are non-refundable and non-transferable.

  • Credits must be used within the validity period stated at the time of purchase.

  • Expired credits cannot be extended or reinstated.

2.3 Memberships

  • Memberships are billed monthly and require a minimum commitment of 2 months from the start date.

  • To cancel or freeze a membership, written notice of at least four weeks is required.

  • Memberships are strictly personal and may not be shared.

  • Memberships include a set number of monthly credits valid from the billing date to the next billing date.

  • Unused credits do not roll over to the following month.

  • Memberships are non-transferable and for individual use only.

2.4 Guest Passes

  • Guest passes are offered at the discretion of The Secret Flow and may be included with selected memberships or promotions.

  • Guest passes are non-transferable, have no cash value, and cannot be exchanged for refunds or credits.

  • Guest passes must be booked in advance via Mindbody and are subject to class availability.

  • Guest passes are valid for new clients only, unless otherwise stated.

  • Cancellations for guest passes must be made within the standard cancellation window. Late cancellations or no-shows will result in the loss of the guest pass.

  • The guest must agree to and comply with all studio policies, health declarations, and Terms & Conditions prior to attending their class.

  • The Secret Flow reserves the right to withdraw or refuse guest pass use at any time.

3. Health & Safety

3.1 Health Declaration

By participating in classes at The Secret Flow, you confirm that you are in good physical health and have no medical condition that could be aggravated by exercise.
It is your responsibility to inform the instructor of any injuries, medical conditions, or pregnancy before the class begins.

Please inform your instructor of ANY injuries or concerns prior to class starting.

3.2 Waiver of Liability

All classes are undertaken at your own risk. The Secret Flow accepts no responsibility for injuries, loss, or damage sustained during classes.
We strongly recommend consulting a qualified medical professional before beginning any new exercise programme.

3.3 Studio Etiquette

To maintain a safe, respectful, and welcoming environment:

  • Respect instructors, staff, and fellow clients at all times

  • Grippy socks or barefoot only whilst on mats.

  • Follow instructor guidance and studio safety rules

  • Keep mobile phones on silent during class

  • Arrive prepared and mindful of others’ experience

Disruptive, disrespectful, or inappropriate behaviour may result in suspension or termination of access to the studio and its services without refund.

4. Payments & Refunds

4.1 Payments

  • Payment is required at the time of booking.

  • We accept major debit and credit cards via our booking system.

  • All prices are inclusive of VAT unless otherwise stated.

4.2 Refunds

  • All purchases, including classes, packages, and memberships, are non-refundable, except in the case of an error on our part.

  • Any refund requests must be submitted in writing to hello@thesecretflow.co.uk.

5. Changes to Schedule & Services

The Secret Flow reserves the right to change class schedules, instructors, pricing, or services at any time.
If a class is cancelled by the studio, clients will be offered a credit for the affected session.

6. Privacy & Data Protection

By using our services, you consent to the collection and use of your personal data in accordance with our Privacy Policy.
Your personal information will not be shared with third parties without your consent, except where required by law.

7. Photography & Media

Photography and video recording inside the studio are not permitted without prior consent.
From time to time, The Secret Flow may take photos or videos for marketing purposes. You will always be asked for permission before being included.

8. Termination of Services

The Secret Flow reserves the right to refuse or terminate access to classes or services if these Terms & Conditions are breached.

9. Governing Law

These Terms & Conditions are governed by and interpreted in accordance with the laws of the United Kingdom.
